Project Assistant

Job summary

As part of the Project Management team, your role will be to provide administrative support the project team members in preparation and follow-trough of the projects.

Main duties and responsibilities

  • Organize the administrative start-up of new projects in the various used software tools (Lotus Notes and in specific software applications).
  • Ensure the final preparation, sending and history tracking of engineering documents to clients and suppliers according to the contractual agreements.
  • Keeping track of client’s comments on the sent engineering documents.
  • Assist project managers with price offers and quotations.
  • Ensure the final preparation of purchase orders (and their applicable documents) to the purchasing department.
  • Ensure an accurate follow-up of changes in the engineering documentation and timely sending to client and suppliers
  • Communicate daily with the internal departments to address project related issues.
  • Support the department manager in achieving improved performance of the department according to the pre-identified targets
  • Act as a back-up for shipping & purchasing activities if needed (Follow-up of suppliers for order confirmation, deliveries,…)
  • Coordinate and support logistics for meetings & travels
  • Manage stock of personal safety equipment
  • Additional duties might include coordinating subcontracts, administering change orders and invoices as well as performing administrative support for the project management department.

Education and experience

Required Education / Experience

  • Bachelor Degree in Administration or equivalent
  • 3 years of experience in administration preferably in a project department

Preferred Education/Experience

  • Previous experience in customer service environment with order administration and large project management experience ideally in a construction environment

  • High level of autonomy and organisation, self-driven attitude
  • Display a pragmatic, no-nonsense pro-activeness
  • Ability to bring customer-focused solutions to problems
  • Good attention to detail and analytical skills
  • Display and live a strong cultural awareness
  • Effective communicator
  • Proficient in Microsoft Office applications
  • ERP experience is a plus
  • Fluent in English (must), at least one additional European language (French and/or Dutch preferred)
